Welcome to Polaris Academy. These Terms & Services outline the policies, responsibilities, and conditions related to our tutoring programs and educational services.

By enrolling in Polaris Academy programs or using our services, students and parents/guardians acknowledge and agree to the terms outlined below.

1. About Polaris Academy

Polaris Academy is a private tutoring academy specializing in mathematics and physics education for high school students (Grades 9–12).

Our mission is to help students develop a deeper understanding of concepts, improve problem-solving abilities, build confidence, and achieve academic success through personalized and structured learning.

2. Programs and Services

Polaris Academy provides:

  • In-person tutoring classes;
  • Online tutoring sessions;
  • One-on-one tutoring;
  • Small group classes;
  • Exam preparation;
  • Homework and academic support;
  • Concept-based learning and problem-solving development.

Programs may vary depending on student needs, course requirements, and availability.

3. Enrollment and Registration

To enroll in Polaris Academy:

  • Students or parents/guardians must provide accurate and complete registration information.
  • A parent or legal guardian must provide consent for students under the age of 18.
  • Students may be required to complete an initial assessment or consultation to determine the most suitable program placement.
  • Enrollment is only confirmed once registration requirements and payment obligations have been completed.

Polaris Academy reserves the right to determine appropriate student placement based on grade level, academic background, course requirements, and learning needs.

4. In-Person Class Enrollment and Payment Policy

Registration Deposit

To reserve a student’s place in an in-person class, a registration deposit must be paid before the start of the program.

The deposit confirms enrollment and secures the student’s seat. Due to limited class capacity, spots cannot be guaranteed until the required deposit has been received.

Tuition Payment Options

The remaining tuition balance may be paid through one of the following options:

Monthly Payment Plan

Tuition is paid monthly according to the agreed payment schedule.

Semester Payment Plan

The full semester tuition is paid before the beginning of the semester.

All tuition payments must be completed according to the selected payment plan.

5. Online Tutoring Payment Policy

Online tutoring sessions operate on a prepaid basis.

Payment must be completed before the scheduled session begins.

Students will receive confirmation and access information after payment has been received.

6. Attendance Policy

Students are expected to:

  • Attend all scheduled sessions;
  • Arrive on time;
  • Be prepared with required materials;
  • Participate actively during lessons;
  • Complete assigned practice when required.

Late arrival will reduce the available instructional time, and sessions will still end at the scheduled time.

7. Student Materials and Preparation

Students are responsible for bringing the necessary learning materials to every in-person class, including:

  • Notebook or dedicated class binder;
  • Pens, pencils, erasers, and required stationery;
  • Textbooks, assignments, or other materials requested by the instructor.

Students are expected to arrive prepared and ready to learn.

Failure to bring required materials may affect the student’s ability to fully participate in the session.

8. Missed Classes and Absences

Individual Sessions

For one-on-one sessions:

  • Cancellation or rescheduling requests must be submitted at least 24 hours before the scheduled session.
  • Sessions cancelled with less than 24 hours notice may be charged in full.
  • Missed sessions without notice are considered completed sessions.

Group Classes

Due to the structured nature of group classes:

  • Missed classes by students are not refundable.
  • Missed classes will not be deducted from tuition.
  • Polaris Academy may provide supplementary materials or guidance when possible.

9. Class Cancellation by Polaris Academy

If Polaris Academy must cancel a scheduled session due to unforeseen circumstances, Polaris Academy will provide one of the following:

  • A replacement session;
  • Equivalent academic support;
  • Appropriate credit toward future services.

10. Refund Policy

Payments for completed sessions are non-refundable.

For prepaid programs or unused sessions, refund requests may be reviewed on a case-by-case basis.

Approved refunds may exclude:

  • Completed sessions;
  • Administrative fees;
  • Other applicable charges.

11. Student Conduct and Learning Environment

Polaris Academy is committed to maintaining a respectful and productive learning environment.

Students must:

  • Respect instructors and classmates;
  • Follow classroom expectations;
  • Avoid disruptive behavior;
  • Participate respectfully during lessons.

Polaris Academy reserves the right to suspend or discontinue services if a student’s behavior negatively affects the learning environment.

12. Academic Results Disclaimer

Polaris Academy is committed to helping students improve their understanding and academic skills.

However, Polaris Academy does not guarantee specific grades, marks, or academic outcomes.

Student success depends on multiple factors, including:

  • Attendance;
  • Effort;
  • Practice;
  • Engagement;
  • Completion of assigned work.

13. Educational Materials and Intellectual Property

All educational materials provided by Polaris Academy, including:

  • Worksheets;
  • Notes;
  • Presentations;
  • Practice questions;
  • Digital resources;
  • Study materials;

are intended for personal educational use only.

Materials may not be copied, distributed, sold, or shared without written permission from Polaris Academy.

14. Online Learning Requirements

Students participating in online sessions are responsible for:

  • Reliable internet connection;
  • Appropriate device;
  • Required software/platform access;
  • Suitable learning environment.

Technical issues caused by the student’s equipment or internet connection may not qualify for replacement sessions.

15. Privacy and Student Information

Polaris Academy collects personal information necessary to provide educational services, including:

  • Student information;
  • Parent/guardian contact information;
  • Academic information;
  • Scheduling information;
  • Payment information.

Information will be handled responsibly and used only for legitimate business and educational purposes.

16. Changes to Terms and Services

Polaris Academy reserves the right to update these Terms & Services when necessary.

Updated terms will be posted on the website, and continued use of services indicates acceptance of the updated terms.
